It is recognized that schools have a complex job of protecting the privacy of student’s personal information and images while at the same time promoting the work and achievements of students. While much of that promotion occurs inside the school, during regular school hours, it may also happen through publications that target the greater school community and on websites accessible to the general public. It is recognized that while parents and students are in the best position to determine what precautions they may wish to exercise around possible photographs that are taken outside regular school hours, the school principal or designate is responsible for making decisions around the taking and publication of student information and photographs during normal school hours. Those decisions are to be consistent with AVRSB policy, the wishes of parents, and that which is reasonable to protect students. Specifically:
- While we can’t control all the individuals that take photographs at a school event, schools will require outside agencies and/or the media to obtain permission prior to taking photographs during normal school hours regardless if you can “identify” the student(s) in the photo(s). Permission can be provided by the school principal or designate where a designate may include school staff or other individuals who have been approved by the school to work with student groups. Approval for photographs that include students where their parent(s)/guardian(s) have contacted the school under (3) below would be consistent with the wishes expressed by the parent(s)/guardian(s).
- Schools will work with outside agencies to promote, when possible, photographs and photograph/caption/story combinations that are less likely to identify students.
- Schools will include in regular correspondence to parents/guardians information (newsletters, handbooks, parent/school organizations) outlining our practice and request parents who wish particular considerations made in regards to the approval for publishing of otherwise non-identifying photographs that may include their child contact the school administration.
